Post Offerings

When you choose item "2. Post Offerings" from the Offerings menu you will arrive at this screen.  You can see from this immediate screen that the program requires you to enter an envelope number.  Again, watch out for confidentiality problems here, because once you enter the number, the members name and address will appear.  This association should normally be kept secret.



As soon as you enter the Envelope Number, the information shown in the following screen will appear and the system is asking you for a posting date.  This is normally the date that the offering was made.   Just to the right of the date is another field that will accept the FULL amount of the offering. We have entered the date, and the amount and then the screen below appears.



You must now distribute the full offering by the types of offerings that are available to your members.  This table has been previously set up by your administrator so that you cannot post a wrong code (although you could post an incorrect one that corresponds to one in the legitimate list). Once you have entered the code, you will be shown the full description of that code and then requested to enter an amount.  This will continue until the running balance reaches zero.  You can only exit this routine by filing a record with a zero balance or by aborting the whole record. In our example we will use two different distributions to show you in the screen below.  If your balance is zero, the prompt drops to the command line.  If you are happy and answer "Y", then the record is filed and you go round again.  If you answer "N", then you have the option to edit or add items in the body.  However, you cannot go back up and change the FULL amount. If you find this is wrong, your only option is to A)bort and start the transaction again.

Once you file, this record, the envelope number and amount will show in the space provided.  This is only for the operators reference in case the phone wrings etc, there is a visual record of the last envelope in the pile to be posted.

The routine then cycles again.  You will notice that on subsequente entries, the posting date sticks.  This is bacause ususally you will be batching offerings from a specific day.

When you are finished, enter a "@" for the envelope number , and the system will back out.
